The official service begins at vjw.digital.go.jp. You use it in a web browser; do not assume that an unrelated app or a paid “application service” is official.

What Visit Japan Web does not do

Japan Customs still states that paper customs declaration forms are available on aircraft, ships, and at customs.

I recommend using Visit Japan Web because typing an address at home is easier than copying it after a long flight while standing beside your suitcase. Still, carry a pen and keep your hotel details available. A dead battery should be an inconvenience, not a personal crisis.

What You Need Before You Start

Wait until your inbound flight and first place of stay are reasonably settled. Then gather the following:

How to Register for Visit Japan Web

Step 1: Open the official website and create an account

Go through the Digital Agency’s Visit Japan Web page or enter https://www.vjw.digital.go.jp/ directly. Create an account with your email address and complete the verification requested by the service.

Do not pay anyone. In May 2026, Japan Customs warned that fake sites and private assistance sites were charging travelers or requesting personal information. The official Visit Japan Web service is free.

Step 2: Register your user and passport information

Select the appropriate category for entering or returning to Japan. Ordinary foreign tourists should answer according to the passport and status they will actually use.

The official guide currently allows you to scan the passport with your camera or enter the information manually. Check every character after scanning, especially:

• Family name and given names
• Passport number
• Nationality
• Date of birth
• Passport expiration date

Your Visit Japan Web details should match your passport. Do not substitute a nickname, shortened middle name, or the name used on a hotel loyalty account.

Step 3: Add accompanying family members if appropriate

The current official manual allows up to 10 family members traveling with you to be registered. This function is especially helpful for children or someone who cannot complete the process independently.

It does not turn the group into one traveler. Immigration inspection is individual, and Japan Customs states that people using its electronic declaration terminal generally complete the terminal procedure one by one. Make sure you can select and display the correct traveler’s information when asked.

Adults who can manage their own travel details may find separate accounts simpler, especially if they will arrive on different flights, use different passports, or split up at the airport.

Step 4: Register your entry schedule

Add a new planned entry and enter your travel information. The trip name is mainly for your own organization, so use something easy to recognize, such as “Tokyo October 2026.”

Enter the flight that physically lands in Japan. If you fly from Los Angeles to Seoul and then Seoul to Tokyo, the relevant arrival flight is normally the Seoul-to-Tokyo segment.

Next, enter the contact information for your first stay in Japan. If you are staying at several hotels, you do not need to squeeze the entire itinerary into the first-accommodation field.

Step 5: Complete immigration and customs information

Open the registered trip and complete the section labeled for immigration clearance and customs declaration. Foreign visitors complete the foreigner entry record as well as the customs declaration.

The questions may cover your purpose of visit, intended length of stay, address in Japan, occupation, and customs matters. Read every customs question rather than automatically choosing “No.” Items that may require attention include:

• Prohibited or restricted goods
• Meat, plants, animals, or agricultural products
• Commercial merchandise or samples
• Goods above Japan’s duty-free allowance

Return to the procedure page and confirm that the required sections show as completed. Display the arrival QR code before leaving home and learn how to reopen it.

Since January 25, 2024, the immigration and customs declaration QR codes have been unified. The same arrival QR code can be presented at immigration and at a customs electronic declaration terminal or inspection counter.

That does not mean you scan it only once. You may need to display it at more than one point during the arrival process.

When Should You Complete Visit Japan Web?

There is little benefit in registering before your flight and first accommodation are confirmed. A practical schedule is:

• After booking: Create the account and gather the information.
• Several days before departure: Complete the entry and customs sections.
• The day before flying: Confirm the trip, passport, hotel, and QR code again.
• Before landing: Charge your phone and open the procedure page while you still have a reliable connection.

If your flight changes but your arrival details no longer match, update the registered schedule before presenting it. Do not create a second account just because an airline changes the flight number.

How to Use the QR Code at the Airport

The exact route depends on the airport and how staff are directing passengers that day. A typical arrival looks like this:

1. Follow signs for arrivals and immigration.
2. Present your passport and Visit Japan Web QR code at immigration as directed.
3. Provide fingerprints and a facial photograph if required.
4. Collect checked baggage.
5. Present or scan the same arrival QR code for customs.
6. Follow the green channel, red channel, electronic gate, or inspection-desk instructions you receive.

At immigration

Visit Japan Web supplies the foreigner entry record, but an immigration officer still makes the admission decision. Keep your passport open and remove its cover if asked. Be ready to state your purpose of travel, length of stay, first accommodation, and onward plan.

Most adult foreign visitors are fingerprinted and photographed, subject to legal exemptions. A successful QR code does not skip these identity checks.

At customs

After baggage claim, use the QR code and your IC passport at the electronic declaration terminal where available. Japan Customs currently lists electronic gates at New Chitose, Narita, Haneda, Chubu Centrair, Kansai, Fukuoka, and Naha airports.

At Haneda, Fukuoka, and Naha, the Digital Agency says the customs electronic declaration terminal may be used while you wait for baggage. Follow signs and staff instructions rather than wandering away from your carousel.

Electronic declaration does not guarantee that you can simply walk through. Customs may direct any passenger to an inspection counter and may inspect baggage.

What If Your Phone, Wi-Fi, or QR Code Does Not Work?

First, do not panic. Airport staff see battery, browser, and connection problems every day.

• Charge your phone before landing and carry a charging cable or power bank.
• Open the official procedure page while you still have inflight or roaming service.
• Use the official offline instructions where available.
• Keep your passport, flight details, and hotel address separately available offline.
• Carry a pen so you can use a paper form if directed.
• Ask an airport employee for the correct paper or on-site procedure.

A screenshot may be useful as a personal backup, but follow the current service and airport instructions about what can be scanned. In particular, the separate tax-free shopping QR code cannot be used from a screenshot.

If staying connected is your concern, check whether your phone will work in Japan before choosing roaming, an eSIM, or pocket Wi-Fi.

Visit Japan Web for Families and Children

Parents can register accompanying children within the family-member function. Select each person carefully when entering their procedure information and when displaying a code.

Three rules prevent most family confusion:

1. Register each traveler’s passport details exactly.
2. Complete the required entry information for each person, not only the account holder.
3. Keep the family together until staff indicate who should approach or scan next.

At customs electronic declaration terminals, Japan Customs says passengers generally complete procedures one by one. A child under 100 centimeters may pass through the electronic customs gate with a family member, but staff instructions take priority.

The Separate Tax-Free Shopping QR Code

Visit Japan Web also offers an optional tax-free shopping QR code for eligible foreign visitors. It is separate from the arrival-procedure QR code and is accepted only at participating stores.

To create it, the official guide says your passport must be scanned in advance. After entering Japan, you scan the landing-permission stamp or sticker in your passport. When shopping, you must display the live tax-free QR code; screenshots are not accepted.

You can always use your passport at stores that follow the standard passport procedure, so the tax-free QR feature is not something to delay your airport exit over. Store participation varies.

Using a paid or fake website

The official service is free. Start at the Digital Agency page or verify that the service address is vjw.digital.go.jp. Do not provide passport data or card details to a site merely because it appears above the official result in search.

Treating Visit Japan Web like a visa

A completed QR code does not make a traveler visa-exempt. Visa requirements depend on nationality, passport, purpose, and length of stay.

Entering the booking platform’s address

Use your actual first lodging in Japan. If the address is written in Japanese, the postal code can help the form fill the prefecture and city correctly.

Entering the wrong flight

Use the flight that lands in Japan, not the first flight leaving the United States when you have an international connection.

Assuming “No” is always the safe customs answer

The safe answer is the truthful answer. If you are uncertain about medication, food, expensive goods, commercial samples, or separately shipped baggage, check the appropriate Japanese authority before departure.

Preparing only the account holder

Adding family names is not the same as completing every traveler’s procedure. Open each person and check the completion status.

Depending on one phone

Keep the password available securely, charge the phone, and store hotel and flight details separately. Couples traveling together should know which device and account holds the records.
